By integrating with HubSpot, you can link your HubSpot contacts and segments (lists) with your LINE friends and run them together. Setup takes just a few steps, and once it is done you can ask Marketing Agent for help, such as "Plan a broadcast using my HubSpot data." This article covers everything from preparing for the integration through setup, post-integration checks, and removal.
What you can do with the HubSpot integration
Connecting your HubSpot CRM data with your LINE friend data lets you run LINE operations that start from HubSpot.
Once the integration is enabled, you can do the following:
- Use HubSpot reference data such as contacts, segments (lists), and workflows in Lumo
- Create Segments for LINE broadcasts using HubSpot segments or contact properties as conditions
- Write LINE friend information and follow status back to HubSpot custom properties
- Add LINE actions (send a message, send a notification message, update a Rich Menu, link IDs) to HubSpot workflows
- Open a LINE Chat from the HubSpot contact, company, and ticket screens
- Receive and reply to LINE conversations in the HubSpot inbox and help desk (optional)
After the integration is set up, you can hand off broadcast creation to Marketing Agent by telling it your goal. For example, if you say "I want to tell the friends in my HubSpot 'VIP' segment (list) about this weekend's campaign," the agent will go as far as suggesting a Segment and drafting the broadcast. To run it, select "Execute" on the approval screen, or choose "Not now" if you decide to hold off.
What to check before you start
To complete the integration smoothly, confirm your permissions and account status in advance.
| Item to check | Details |
|---|---|
| Lumo permissions | You are logged in to the target Workspace as an administrator |
| HubSpot permissions | You have permissions equivalent to "Super Admin," which can integrate apps and change settings |
| LINE Official Account | The LINE Official Account you will use for the integration is already connected to Lumo |
| HubSpot plan | Available on the free plan or higher (the Starter plan or higher is recommended for real operations) |
| Lumo plan | Workspaces in Japan need the Business plan or above; Workspaces outside Japan need the Starter plan or above. LINE accounts migrated from CONNECT can use it on any plan |
If you also plan to use inbox sync, confirm that you have permission to manage the inbox in HubSpot as well.
The integration takes about 15 minutes.
Where to start the integration
You can start the HubSpot integration either from Lumo or from the HubSpot App Marketplace. Whichever you choose, you will end up at the same HubSpot integration settings.
| Entry point | Overview |
|---|---|
| Start from Lumo | Follow Lumo's integration wizard to review the details and log in to HubSpot in order |
| Start from the HubSpot App Marketplace | Open the Lumo app in HubSpot, then sign in to Lumo along the way and choose which LINE Official Account to connect |
With either entry point, you integrate by selecting an existing account already connected to Lumo rather than creating a new LINE Official Account. If the LINE Official Account you want to use is not yet in Lumo, connect the account in Lumo first.
Integrating from Lumo
In Lumo's integration wizard, you complete the integration in four steps while reviewing the data that will be used.
Opening the integration wizard
- Open "Customer data" from Lumo's side menu.
- Select "HubSpot".
- Read the items to check before integrating, then click "Start HubSpot Integration".
The four steps of the wizard
| Step | Screen | What you confirm |
|---|---|---|
| 1 | Review the HubSpot data Lumo will use | Confirm that Lumo will use reference data such as contact record IDs, lists/segments, and workflows |
| 2 | Review the Lumo data added to HubSpot | Confirm the custom properties Lumo will automatically create in HubSpot |
| 3 | Log in to HubSpot | Go to the HubSpot login screen and authorize the integration |
| 4 | Integration complete | Confirm that the integration is complete and proceed to the Dashboard |
As you will confirm in step 1, contact properties such as name, email address, and phone number are not synced to Lumo by default. Add the items you need after integrating, from the sync data settings.
When you authorize the integration, the custom properties that Lumo uses are automatically created on the HubSpot side. It may take a few minutes for the initial sync and property creation to take effect.
Integrating from the HubSpot App Marketplace
If you start from the HubSpot App Marketplace, you sign in to Lumo partway through installing the Lumo app and choose which LINE Official Account to connect.
- Open the Lumo app page in the HubSpot App Marketplace.
- As you proceed with installing the app, the Lumo sign-in screen opens. Sign in to the target Workspace.
- Choose the LINE Official Account to integrate.
- Click "Continue with HubSpot" to return to HubSpot.
- Review the required permissions on the HubSpot screen and complete the installation.
If you don't yet have a LINE Official Account connected to Lumo, connect the account in Lumo first, then reopen the app in the HubSpot App Marketplace.
What to check right after integrating
Once the integration is complete, check the sync status on the HubSpot integration Dashboard.
On the integration Dashboard, you can check the following:
- Integration status (normal / syncing / applying / failed)
- Initial sync progress (such as the number of contacts processed)
- Sync history
- The connected HubSpot account (Hub ID)
If data appears to have stopped updating, you can request a resync from "Resync Data" on the Dashboard. Depending on the volume of data, the resync may take a few minutes to complete.
Settings to review after integrating
After integrating, you can adjust settings to match your operations using the three menus on the HubSpot integration screen.
| Menu | What you can mainly do |
|---|---|
| Dashboard | Check sync status, review sync history, resync data |
| Sync data | Add or remove the contact properties imported from HubSpot, check where each is used, and switch "Add properties automatically when used" on or off |
| ID linkage | Check the linkage status, link IDs from form submissions, link IDs from segments, and find the other methods (QR codes, marketing email) |
| Settings | Check the Hub ID and run the connection check, sync & automation (inbox sync, automatic contact creation, task auto-creation, group chat sync, attributed order write-back to HubSpot), the properties shown in the Lumo inbox, and disconnecting HubSpot |
If you want to use your own HubSpot properties in Lumo, add them to the sync targets from "Sync data" using "Add HubSpot Property". Properties you use in a broadcast, a Workflow, or a Segment are added to the sync targets on their own while "Add properties automatically when used" is on.
Properties automatically created in HubSpot
When you integrate, custom properties that store LINE-related information are automatically created on your HubSpot contacts.
The main properties are as follows:
| Property | Details |
|---|---|
| LINE User ID | The LINE user identifier |
| LINE display name | The LINE display name |
| LINE profile image | The LINE profile image |
| LINE follow status | Friend registration / blocked status |
| LINE friend added date | The date and time the friend was added |
| LINE tags | Information about the tags assigned to the friend |
| LINE Traffic Source | What prompted the friend add. For a custom QR Code, the name of the QR Code |
| Last broadcast name / Last broadcast date | Information about the most recent LINE broadcast |
The LINE tags written back here are the information for the tag assigned to a friend, that is, a Friend Tag. This is a separate concept from a Segment, which narrows down broadcast targets. If you want to narrow your broadcast audience using HubSpot segments or properties as conditions, set the conditions in a Lumo Segment.
Depending on the LINE Official Account you connect and the features you enable, additional properties may be created. Be careful not to delete or change these custom properties on the HubSpot side.
Adding LINE actions to a HubSpot workflow
By adding LINE actions to a HubSpot workflow, you can automatically reach contacts that match your conditions on LINE. Four actions are available: Send LINE message, Send LINE notification message, Update LINE rich menu, and ID linkage by form submission.
To send a LINE message, follow these steps.
- Create a workflow in HubSpot that targets contacts.
- Add "Send LINE message" as an action.
- Choose the LINE Official Account to send from.
- Set the content of the message to send.
You can choose one of the following for the message content:
| Setup method | Details |
|---|---|
| Choose from Auto Send Messages | Choose an auto message already saved in Lumo |
| Enter the message body directly | Enter the message body to send within HubSpot |
The Auto Send Messages you can choose here must be created in advance in Lumo.
You can also send to the associated contact from deal and ticket workflows. The settings and requirements for the other three actions are covered in LINE actions for HubSpot workflows.
Opening a LINE Chat from HubSpot
From the HubSpot contact screen, you can directly open the LINE Chat with that friend.
- Open the target contact in HubSpot.
- From the Lumo card shown in the sidebar, open the LINE Chat.
- The Lumo Chat opens, where you can view the conversation history with that friend.
You can open a LINE Chat the same way from a company record, a ticket record, or a ticket screen in the help desk.
If the chat doesn't open, check that you are logged in to Lumo and that a LINE friend is linked to the target contact. If your Lumo login has expired, log in again and then reopen the chat.
Syncing with the HubSpot inbox (optional)
Inbox sync is an optional feature. Set it up if you want to receive LINE conversations in the HubSpot inbox or help desk and reply to them from there.
Connecting inbox sync
You start connecting inbox sync from the HubSpot inbox settings.
- In the HubSpot inbox settings, connect the Lumo channel.
- When the Lumo screen opens partway through connecting, choose the LINE Official Account to sync.
- Return to HubSpot and confirm that the connection is complete.
- In Lumo, go to "Settings" > "Inbox sync" under "Sync & automation" and check the connected inbox and channel account.
After connecting, conversations received via LINE arrive in the HubSpot inbox and help desk, and you can reply from the HubSpot screen. Sending and receiving images and files is supported too. Send a test message or image from LINE and confirm that it appears on the HubSpot side, then reply from HubSpot and confirm that it arrives on LINE.
Checking the inbox sync status
Under "Inbox sync" in "Sync & automation" in Lumo, you can check the connection status with the following indicators:
| Indicator | Status |
|---|---|
| Connected | Inbox sync is enabled |
| Not connected | Inbox sync is not yet connected |
| Reconnection required | The channel on the HubSpot side is disabled. Reconnect the Lumo channel in the HubSpot inbox settings |
Linking IDs from a list
If LINE User IDs are already saved on your HubSpot contacts, you can read those values and link the IDs to your Lumo friends.
You configure this in Lumo, under "ID linkage" > "Link IDs from Segments".
- Choose the HubSpot segment that contains the LINE User IDs in "Source List".
- Choose the HubSpot property where the LINE User IDs are stored.
- Save the settings.
Once you specify a source list, Lumo periodically imports the existing LINE User IDs from HubSpot and links them to your Lumo friends. If you remove the specification, the import stops.
Removing the integration
Removing the integration involves two separate operations: removal on the Lumo side and deletion on the HubSpot side. If you want to fully disconnect, check both.
Removing it on the Lumo side
- Open "Settings" for the HubSpot integration.
- If you are using inbox sync, go to "Inbox sync" under "Sync & automation" and run "Disconnect".
- To remove the integration itself, open "Disconnect HubSpot", enter your Lumo ID to confirm, and click "Disconnect HubSpot".
- Confirm the removal in the confirmation dialog.
When you remove the integration, the contact data synced from HubSpot and the ID linkage information between your Lumo friends and HubSpot contacts are deleted. If you are broadcasting to a Segment that uses HubSpot attributes, this may affect your audience, so check before removing.
Deleting it on the HubSpot side
- In the HubSpot inbox settings, delete or disable the connected Lumo channel.
- If you no longer need the app itself, remove the Lumo app from your list of connected apps in HubSpot.
Even if you remove the integration on the Lumo side, the channel settings on the HubSpot side, the custom properties already created in HubSpot, and past conversation history are not deleted automatically. If you no longer need them, delete them manually on the HubSpot side.
When things don't work
When you run into trouble with the integration or syncing, checking your permissions and sync status first makes it easier to isolate the cause.
| Symptom | What to check |
|---|---|
| Integration authentication fails | Whether you have permissions equivalent to "Super Admin" that can integrate the app in HubSpot |
| The initial sync doesn't start | Wait a few minutes after the integration completes, then check the sync status and sync history on the Dashboard |
| Custom properties are not created | Check HubSpot's property creation limit and permission settings |
| The LINE Chat doesn't open | Whether you are logged in to Lumo and whether a LINE friend is linked to the target contact |
| Conversations don't appear in the HubSpot inbox | Whether the combination of the connected inbox and LINE Official Account is correct, and whether inbox sync shows "Reconnection required" |
