Folders are an organizing feature that groups items such as Rich Menus and Message Broadcasts by purpose so your lists stay easy to scan. As your items grow, classifying them into Folders lets you find what you need right away.
What You Can Do with Folders
Folders group items on each feature's list screen so you can quickly find what you need.
Folders appear together at the top of the list screen, and clicking a Folder name shows the items inside it. You can leave day-to-day broadcasts and settings to the Marketing Agent, but keeping your lists organized makes it easier to review them yourself.
The main actions you can perform with Folders are as follows.
| Action | Description |
|---|---|
| Create | Add a new Folder to the list screen |
| View | Open a Folder and check the items inside |
| Move | Put items into a Folder, or take them out of a Folder |
| Rename | Change the name of an existing Folder |
| Delete | Remove a Folder you no longer need |
Features That Support Folders
Folders are available in several features that manage items in a list.
The main supported features are listed below. Features where you can create Folders show a "Create Folder" button on the list screen.
| Feature | Items you can organize |
|---|---|
| Rich Menu | Menus shown on the chat screen |
| Segment | Groups of friends that match your conditions |
| QR Code | QR Codes for adding friends |
| Message Broadcast | Broadcasts you have created |
| Workflow | Flows for automated processing |
| Auto Send Messages | Messages sent automatically |
| Canned Response | Canned Responses used in Chat |
The steps are nearly the same across every feature. The examples here use list screens such as Rich Menu and Segment.
Creating a Folder
You can add a new Folder on the spot from each feature's list screen.
- Open the list screen of the target feature (Rich Menu, Segment, QR Code, etc.)
- Click the "Create Folder" button
- A Folder is added to the top of the list, and a name input field appears
- Enter a Folder name and confirm
The Folder you created appears at the top of the list screen.
Viewing the Inside of a Folder
When you click a Folder name on the list screen, only the items inside that Folder are shown.
When you open a Folder, an indicator showing your current location appears at the top of the screen. To return to the original list, use the back action to go up one level.
Moving Items into a Folder
You can move items such as Rich Menus and Segments into another Folder all at once.
- On the list screen, select the checkboxes of the items you want to move
- Click "Move to Folder" from the bulk action menu
- Select the destination Folder
- Click "Move to This Folder"
Only items can be moved. You cannot move a Folder itself into another Folder.
Taking Items Out of a Folder
Items you have placed in a Folder can be returned outside the Folder (to the top level of the list).
- Open the Folder and select the checkboxes of the items you want to take out
- Click "Move Out of Folder" from the bulk action menu
- When you run it on the confirmation screen, the items move outside the Folder
Renaming a Folder
You can rename an existing Folder later.
- On the list screen, click the edit icon on the target Folder's row
- A Folder name input field appears
- Enter the new Folder name and confirm
Deleting a Folder
You can delete a Folder you no longer need from the list screen.
- On the list screen, click the delete icon on the target Folder's row
- Click "Delete" in the confirmation dialog
A deleted Folder cannot be restored.
How Items Are Handled on Deletion
How items are handled when you delete a Folder depends on the feature.
| Example feature | How items are handled when the Folder is deleted |
|---|---|
| Rich Menu / Segment / QR Code / Auto Send Messages | The items inside the Folder are deleted along with it (the confirmation dialog states this) |
| Canned Response / Workflow | A Folder that still contains items cannot be deleted (move or delete the items first) |
Before you run the deletion, be sure to read the explanation shown in the confirmation dialog. If the items will also be deleted, it is safer to move anything you need into another Folder first.
When Things Don't Work
When you run into trouble with Folder operations, start by checking your permissions and what you are acting on.
- You cannot create or delete a Folder: Check whether you have the required permissions in your Workspace. You can ask your Workspace administrator about permissions
- You cannot move an item: Only items (Rich Menus, Segments, etc.) can be moved. A Folder itself cannot be moved
- You cannot delete a Folder that contains items: In some features, such as Canned Response and Workflow, a Folder that still contains items cannot be deleted. Move the items to another Folder, or delete the items first, and then delete the Folder
